Documents You Need to Rent an Apartment in Japan (Foreign Residents)

Japanese rental applications move fast once you decide — often the same day. The applicants who get approved are rarely the wealthiest; they are the ones whose paperwork is complete, consistent and ready. This guide lists exactly what to gather, and what to do if your situation is not standard.

The core documents

Residence card

Photograph or scan both sides. The back records address changes, and agencies check that the current address matches what you wrote. If your card expires within the lease term, add evidence of a pending or approved renewal — it prevents an easy question from becoming a rejection.

Proof of income

For company employees, the annual withholding tax slip (源泉徴収票) issued each December is the standard document. A municipal taxation certificate (課税証明書), available at your ward office, works equally well and is useful if you have changed jobs. Recent payslips are often accepted as a substitute.

Emergency contact

This is not a guarantor and carries no financial liability — it is simply someone reachable if you cannot be reached. A relative is preferred; in practice a friend or colleague in Japan is often accepted. Ask them first. An unreachable emergency contact is one of the most common reasons applications stall. Seal (hanko) or signature

Most agencies now accept a signature from foreign residents, but a simple ¥500 name stamp from a stationery shop removes any friction. A registered seal (実印) is generally not required for residential leases.

Consistency matters more than volume

Screeners compare what you wrote on the application against your documents. Common mismatches that cause trouble:

What you sign at contract time

A few days after approval, you attend (or join online) the explanation of important matters (重要事項説明), delivered by a licensed agent. This is a legal requirement, not a formality, and it is your opportunity to ask about anything unclear.

Ask for an English summary in advance if one exists. At minimum, have the cancellation notice period, the renewal fee, and the restoration and cleaning clauses explained to you before you sign — those three decide what leaving will cost.

A simple preparation checklist

  3. Ask your employer for a certificate of employment if you can get one easily
  4. Confirm an emergency contact and their phone number
  5. Buy a name stamp, or confirm signature is acceptable
